CLEARDBS TUTORIAL

Start with the right workspace

Choose a demo or real account, understand the two workspace modes, and find the right guide.

Choose organisation or individual

Choose Organisation when you manage checks for other people, organise colleagues into teams or handle company billing. Choose Individual when you are completing your own check or managing your personal account. Your organisation membership does not make other applicants’ evidence part of your individual workspace.

The two demo links open separate perspectives: organisation demo and individual demo. Use fictional examples in either. A demo is a learning space, not an application submitted to DBS.

Move between AI chat and Dashboard

AI chat explains the product and prepares supported changes. Dashboard shows the tables, forms, documents and workflow stages themselves. Use the mode switch in the header to move between them. Demo entry always opens the organisation dashboard or personal portal. Real accounts keep their selected workspace mode.

A direct link to a check, contract or named dashboard section opens that task. It does not send you back to a general chat welcome screen. Use Tutorials for focused guided practice. The written reference library remains available when you want more detail.

Follow a useful first route

  1. Open the relevant demo. It asks how you want to start: choose Watch a demo for the step-by-step walkthrough, or Explore by yourself to look around first.
  2. For an organisation, inspect Overview, then open Checks and select a sample applicant.
  3. For an individual, select a sample check and work through the stages in order.
  4. Choose the Contracts tutorial to explore its dedicated sample document page.
  5. Return to AI chat and ask about a step you have just seen. Open the linked source section to verify the explanation.

Understand account availability

Creating an account, having an organisation application approved and having an available customer workspace are separate events. If a real workspace is locked, follow its displayed availability message. A working demo does not establish live service availability or DBS approval.

Find help for a particular screen

Open Help & tutorials in the sidebar to read guidance without leaving your page. Choose Start practice walkthrough to explore sample data in the same tab, then Return to workspace when you finish. Save any changes before leaving for practice. AI chat remains available separately. Public guides describe the workflow; your signed-in permissions and current record determine which controls you actually see. Never share a private check link as a substitute for inviting an authorised colleague.

Detailed walkthrough

1. Choose a task before exploring

Start with the work shown as needing your attention, then match the check reference before opening a record. This first walkthrough introduces the route through a check; the section guides in Help explain its individual controls in more detail.

2. Read outcomes before taking action

Review the document label, recorded outcome and next action together. The presence of evidence does not mean the whole application is complete. Continue with the sample material instead of uploading real documents during practice.

3. Continue with a section guide

Open Help & tutorials when you want more detail on a particular task. Read the guide in place, then deliberately start its practice walkthrough. You can leave a walkthrough and resume it from Help without completing every tutorial in one sitting.

Practise this section

Open Help & tutorials, select this guide and choose Start practice walkthrough. Read each highlighted component before continuing. Use Back to revisit an explanation and Retry if a sample has not loaded. The walkthrough uses fictional records; do not enter real applicant information.

Use Exit tutorial to leave and keep your place, then Resume walkthrough in this guide to continue. When returning from practice to a real workspace, review the actual record and your permissions before making a change. Tutorial completion does not perform the underlying task.

Before using this guide

Choose the Organisation or Individual perspective before starting. Read the supplied sample records; there is no need to create an account, pay or upload evidence for the demo walkthrough.

Worked example

An organisation user starts from the overview and checks list; an individual starts from their own check cards. Both can use Help to read guidance and deliberately launch further practice.

Guided component walkthrough

Each component has one short guided step. Read the explanation, then choose Next; Back revisits the previous component. The cursor only demonstrates useful navigation or an explicit action. Replay action repeats that demonstration, and Skip animation keeps the explanation. Use this written guide for feature details.

Main walkthrough

Your checks, managed

  • Your checks, managed: The overview opens with this panel: what ClearDBS is working on, what needs an answer from you, and the totals beside it. Every record in this demo is synthetic.
  • Read one item at a time: Start with the item that needs attention, then confirm its check reference. The summary or check card gives you a starting point; opening the record provides the detailed stages and next action.
  • Choose a task before exploring: Start with the work shown as needing your attention, then match the check reference before opening a record. This first walkthrough introduces the route through a check; the section guides in Help explain its individual controls in more detail.

The checks table

  • The checks table: One row for every check your organisation has requested, with Applicant, Next step and Status in their own columns.

The stage rail

  • The stage rail: A check is split into stages, each on its own page. The pointer opens Identity documents.

Applicant documents

  • Applicant documents: Each file carries the outcome recorded against it and the next action. The images themselves stay with ClearDBS.
  • Identify the evidence item: Read the document label before its outcome. Each item describes one piece of evidence, so compare the requested next action with that item before deciding what to do.
  • Read outcomes before taking action: Review the document label, recorded outcome and next action together. The presence of evidence does not mean the whole application is complete. Continue with the sample material instead of uploading real documents during practice.

The Help button

  • The Help button: This button opens the guide for whichever page you are on, alongside every practice walkthrough.
  • Continue with a section guide: Open Help & tutorials when you want more detail on a particular task. Read the guide in place, then deliberately start its practice walkthrough. You can leave a walkthrough and resume it from Help without completing every tutorial in one sitting.

Individual walkthrough

My checks

  • My checks: Your board groups checks into Your next step, In progress and Completed checks, so anything waiting on you comes first. Every check here is synthetic.

A sample check

  • A sample check: Each card holds one check: its type, its reference and how far it has reached. The next step opens this one.

The stage rail

  • The stage rail: A check is split into stages, each on its own page. The pointer opens Identity documents.

Your identity documents

  • Your identity documents: The evidence provided for this check, each document with the outcome recorded against it. Nothing here was uploaded by you.
